Events Policies and Guidelines

UCLA’s Time, Place, and Manner (TPM) Policies govern how university property may be scheduled and used for extracurricular activities, as well as how those activities are regulated. View UCLA’s Time, Place, and Manner Policies.

Admissions for extracurricular activities are defined in two (2) categories: Ticketed and Non-Ticketed.

Ticketed: Requiring a ticket, coupon, or other form of control for entry. (Registration is considered ticketed.)

Non-Ticketed: Not requiring a ticket, coupon, or other form of control for entry

Ticketed events, free or fee, require that the organizing unit contact the Central Ticket Office (CTO) for general rules and guidelines of implementation, printing, and use. All events requiring tickets, whether free or fee, and all approved major events, must utilize CTO for contracted services.

Individual departments or organizations are not permitted to print their own tickets, coupons, or other form of control for entry.

Cash collection at the event location for ticketing or admissions requires authorization of UCPD Special Events and the presence of a uniformed UCLA Police Officer.

Advertising and promotion of an event to campus audiences is permissible for all internal events.

Advertising and promotion of an event to off-campus audiences requires authorization and approval from the office of Student Organizations, Leadership & Engagement (SOLE) or from the UCLA Events Office for departmental or external events. The following exceptions apply: Athletics Department, UCLA Performing Arts, University Extension, External Affairs, ASUCLA, School of the Arts & Architecture, and School of Theater, Film & Television.

All off-campus publicity for a program or event which involves the use of university facilities may be released only after review and approval by the university sponsor and one of the departments or divisions listed above.

All registered organizations must obtain authorization from the office of Student Organizations, Leadership & Engagement (SOLE).

For more information please refer to UCLA Policy 860.1: Extracurricular Use of University Facilities.

All outdoor programs or activities utilizing sound amplification systems must obtain specific approval for such amplification in advance from the Student Organization Leadership and Engagement (SOLE) and/or the UCLA Events Office. All sound amplification systems and sound levels must meet criteria established by SOLE. During periods of regularly scheduled classroom instruction or the conducting of other university-related business, amplified sound is generally restricted to 11:50 a.m. through 1:00 p.m., with certain exceptions allowed for Bruin Walk and other events related to Public Expression. Every attempt will be made to avoid the scheduling of concurrent programs in adjacent areas when one or more of the programs has amplified sound.

See UCLA Policy 850: General Use of UCLA Property for policy regulation on amplified sound.

Signage at university venues is pursuant to the approval of the entity that runs the venue or space where any temporary signage will be set up. Lamp post banners on campus are managed by UCLA Strategic Communications and are only available for UCLA institutional purposes.

Banners on and adjacent to the Ackerman Student Union are scheduled by ASUCLA Events.

See UCLA Policy 850: General Use of UCLA Property for policy regulation on campus signage.

If your event is open to the general public, you must obtain a food permit at least five business days before the event. Invited guests do not count as the general public, however, if food being served to invited guests is perishable or not pre-packaged, event coordinators must follow public health regulations.

Failure to obtain any necessary permit may result in the immediate closure of the food-related portion of your event. For more information on food safety and obtaining food permits, visit Environmental Health & Safety's Special Event Permits page or contact them at (310) 206-4635 or envhealth@ehs.ucla.edu.

Fundraising is the solicitation or raising of funds to support non-profit or charitable organizations. In relation to events, fundraising is considered to be requests for donations, sales of tickets for admission (see Admissions section above), or other donations.

On university properties, departments and groups may engage in fundraising or other solicitation of funds if such activity is in consonance and compliance with established Federal, State, local laws, and University rules and/or policies, and if such activity is not in direct conflict with established programs and fundraising efforts supported or sponsored by any University Development Office or other campus entity to which the program has been designated (i.e. University Campaign).

University units and Support Groups must obtain authorization for fundraising from the Chancellor or his designee (the Office of Special Events & Protocol).

All registered organizations must obtain authorization from the office of Student Organizations, Leadership & Engagement (SOLE).

UCLA Transportation is responsible for the operation of the campus parking system. The campus relies on a total of 24,000 parking spaces to serve the needs of a daily population of 79,000 including faculty, staff, students, patients, and daily visitors. All vehicles are required to have a valid permit at all times when parking on campus. The parking regulations are adopted pursuant to the authority vested in the California Vehicle Code Section 21113(a) and any violation of these parking regulations constitutes a violation of the section.

Parking arrangements and ancillary support for campus events is the responsibility of UCLA Transportation's Special Events Parking Office. This office coordinates all event transportation facets, including parking, shuttle service, and traffic control. The following services may be arranged for events:

  • On-site staffing to issue parking permits and provide special directions and/or information to event attendees.
  • Traffic control officers to monitor traffic and pedestrian flow.
  • Shuttle and vehicle rentals.
  • Reserved parking spaces, directional and venue signage, special parking identification placards, and detailed event maps.
