Take Advantage of Alumni Association Resources

1. Marketing through the mail

2. The Alumni Association will facilitate the mailing. The chapter or club will reimburse the Association for mailing charges.

3. Thirteen weeks prior to the event, finalize event concept at chapter or club board meeting.

  • Provide draft invitation to staff liaison for review and approval.
  • Finalize invitation list.

4. Ten weeks prior to the event, provide invitation list requirements to staff liaison to pull mailing list.

5. Seven weeks prior to the event, submit invitations of 500 or more to staff liaison, as they will be mailed from a mailing house.

6. Six weeks prior to the event, submit invitations of less than 500 to staff liaison, as they will be mailed from the Alumni Association.

7. The mail house sends invitations numbering over 500.

8. Four weeks prior to the event, invitation received in homes.

9. Marketing through special e-mail

  • Nine weeks prior to the event, discuss with staff liaison the e-mail, target audience and requested send dates.
  • Seven weeks prior to the event, review the email draft.
  • Five weeks prior to the event, copy will be finalized.
  • Four weeks prior to the event, e-mail will be sent.

10. Market your event through readership - Use the chapter and club web template to:

  • Post events on your chapter or club website.
  • Contact current and involved Association members that visit your site.
  • Request that your event be entered on the Alumni Association calendar and website.
  • Request that your event be included in the monthly all-alumni electronic newsletter. Due to space constraints, clubs cannot post their events in the monthly e-mail, but do have the opportunity to send two special e-mails a year.
